Role Profile
As our Administration Executive, you will be the backbone of the Hitechniques office, playing a crucial role in ensuring seamless day-to-day operations and providing outstanding support to our dedicated team. You'll be the welcoming first point of contact for our valued customers and staff, managing a diverse range of administrative tasks that are vital to our success. Your main objective will be to foster a perfect customer experience through your excellent communication skills and meticulous attention to detail.
Key responsibilities
- Office Management: Oversee the efficient running of our busy office, including managing mail, coordinating courier services, and maintaining optimal stock levels of office supplies. You'll also be responsible for coordinating and maintaining office schedules, ensuring a professional and welcoming environment for everyone who steps through our doors.
- Operational Excellence: Continuously identify opportunities to enhance our operational efficiency by streamlining processes and optimising workflows. This might involve implementing new filing systems, improving internal communication channels, or introducing innovative administrative practices.
- Data & Document Management: Maintain impeccable and up-to-date company records and databases. You will be instrumental in implementing robust data hygiene practices to guarantee the integrity and security of all information. This also includes creating and maintaining essential reports and handling various clerical tasks with precision.
- Management Support: Provide invaluable administrative support to our managers and executives. Your responsibilities will include scheduling meetings, preparing comprehensive reports, and meticulously managing calendars.
- Customer & Staff Support: Deliver exceptional first-line support via telephone and email to both customers and colleagues. You'll skillfully manage and prioritise incoming enquiries, ensuring they are promptly directed to the appropriate team member for resolution.
- Product & Technology Awareness: Develop a strong understanding of Hitechniques' extensive product range and the cutting-edge technology we deliver. You'll assist with administrative tasks related to products and services, stay informed about new developments, and confidently answer basic product-related questions. Your close cooperation with the Marketing Executive, by sharing current trends and promotions, will also play a part in boosting company profits.
What We're Looking For
Essential Knowledge & Skills
- Technical Proficiency: Advanced proficiency in office software, including Microsoft Word, Google Docs, Microsoft Excel, Google Sheets, and various email programmes. Experience with database management is also highly valued.
- Organisational Acumen: Exceptional project management skills, with the ability to expertly juggle multiple tasks, prioritise effectively, and consistently meet deadlines. A demonstrable attention to detail is paramount.
- Business Understanding: A solid grasp of commercial awareness and business acumen. Knowledge of accounting or bookkeeping principles, along with the ability to analyse data and identify trends, would be beneficial.
- Communication & Interpersonal Skills: Outstanding written and verbal communication skills. You'll possess excellent customer-facing skills and the ability to build rapport, collaborate effectively, and work harmoniously with a diverse group of people.

What we offer
- Pay: €38,000.00-€50,000.00 per year
